Hartswood Golf Course Terms & Conditions
General
1. The course is open every day throughout the year except Christmas Day, weather and/or
ground conditions permitting. The closure of the course is at the sole discretion of the green
keeper on duty or their delegated alternative.
2. Current fees and charges, as set by Council Members, are displayed on the website at
www.brentwood.gov.uk. Special offers and any discounts are at the discretion of the Chief
Executive. The Council reserves the right to amend or alter fees and charges without prior
notification.
3. Peak times are weekends and bank holidays. The appropriate off-peak rate will apply to
concessions after 1pm on weekends and bank holidays. If no concession applies the
appropriate peak rate is payable for all adult players. Twilight rates are offered throughout
the year but are subject to seasonal variations of start times which are dependent on day
length.
4. Concessionary rates will apply to those players over 65 years of age and/or those under the
age of 17. Proof of age will be required when applying for a season ticket or paying for casual
play fees at the golf shop. The Council reserves the right to decline a concession application
at its sole discretion.
5. Bookings can be made through https://hartswood.intelligentgolf.co.uk/login or
www.hartswood.intelligentgolf.co.uk/visitorbooking for new pay and play members. Players
can also book in the Golf Pro Shop or over the phone on 01277 214830. Lines are open
from 8am.
6. Society bookings should be made via Hartswood Golf Club by phoning 01277 218850.
7. Failure to cancel your booking without giving 24 hours’ notice will result in no refund being
given. Cancellations made before 24 hours will be given a refund back onto the debit card
used to make the booking.
8. Golfers must report to the Golf Pro Shop and show proof of booking from the Intelligent Golf
app or email receipt. Golfers will then receive a score card. Car registration details need to
be given over to redeem your 4 hours free parking. Failure to give over registration details
may result into receiving a parking fine.
9. Players should notify the starter that they are ready to tee off at least 10 minutes in advance
of their tee time. Payments and other preparations must be made before the 10-minute
notification. Players who report late to the starter may forfeit their tee time and may be liable
to pay all due course fees.
10. Application and Payment for season tickets can be submitted online via the Council’s website
www.brentwood.gov.uk . Applicants will not be dealt with in person and 7 working days
should be allowed for the processing of an application.
11. Any membership enquiries should be directed to the Council offices on 01277 312500 (select
option 2) or in person at the Town Hall reception.
12. Golfers holding annual season tickets must notify the Council offices, in writing, of any
changes to personal details.
13. Brentwood Borough Council reserves the right to refuse admission or to cancel season
tickets immediately if any player is likely (in the opinion of the senior staff member on duty) to
cause any act which can be defined as illegal or a misdemeanour in the eye of the law to
other course users or course staff. In the event of a cancellation of a season ticket, fees shall
not be refunded.
14. Please note that Hartswood Golf Course and Hartswood Golf Club are two separate entities,
and the course has no bearing over the Club or vice versa.
15. Electric and pull trolleys are permitted for use but may be restricted from time to time in
accordance with an assessment of the ground and environmental conditions by the duty
Greenkeeper.
16. Should a player wish to apply for an exception due to medical reasons use a trolley when
normal trolley use is banned, they must submit a written application to Depot Admin,
Brentwood Borough Council, Ingrave Road, Brentwood, Essex, CM15 8AY. The application
must include some documentary evidence of the medical condition and include a letter from
their doctor stating their need for the use of the trolley. An application for the use of a
disabled buggy should be submitted to the Depot Admin also, with a letter from the player’s
doctor. Players must adhere to the Council’s Buggy Policy and Conditions of use.
Applications must be re-submitted annually including for ongoing conditions.
17. For safety reasons, players under 16 years of age must be accompanied by a paying adult
who is over the age of 18 when crossing The Avenue to play holes 3 to 11.
Conduct
18. With the exception of guide dogs for the deaf or visually impaired, pets are not allowed on to
the golf course.
19. The Council does not accept any liability for loss or damage to property owned by or in the
custody of any player while the property is on the premises.
20. As far as is permitted by law, the Council accepts no liability death, bodily injury or disease
arising from any cause whatsoever to persons visiting the premises, except where such
events occur as a direct result of the Council’s negligence or negligence of its
representatives. Golfers agree to indemnify the Council against any actions brought in
relation to the provision of the golf course for their use save for negligence claims or breach
of these terms and conditions only.
21. Management of the course and facilities is controlled by Brentwood Borough Council who
require players to comply with any reasonable directions given to ensure the smooth
operation of the course.
22. The Council reserves the right to amend the rules at any time; individual notice to members
will not be given. It is the responsibility of all users to ensure that they familiarise themselves
with the rules applicable from time to time.
23. Brentwood Borough Council whose decision shall be final, and binding shall determine any
dispute or difference which may arise in regard to interpretation of these rules.
24. All users of the course must show courtesy and consideration to all other members and
visitors whilst using the facilities.
25. Abuse of Council staff by members, users and visitors will not be tolerated. Brentwood
Borough Council reserves the right to terminate memberships and/or ban users and visitors
of the golf course if they abuse staff.
Etiquette
26. A dress code applies to all golfers; a shirt must be worn at all times, golfers must not wear
jeans or shorts (except tailored shorts)., Appropriate footwear must be worn at all times (i.e.
golf shoes or trainers).
27. First time players in breach of the dress code will be permitted to play at the discretion of the
golf professional or course marshall on duty. Repeat visitors in breach of the dress code will
not be allowed to play.
28. Each player must have their own set of clubs.
29. Players should not distract their partner or other players by either talking, moving or standing
too near when they play a stroke.
30. Players must not shout, swear, or throw their clubs. If a player hits a particularly bad shot this
is not the fault of the course or the staff, please respect both appropriately during your game.
31. We ask that mobile phones are put into silent mode at all times.
32. All players must obey all course signage.
33. Trolleys and mobility buggies are not allowed on greens, green approaches, bunkers and
tees.
34. Players must replace all divots while playing, and repair divots on tees.
35. Players must take any broken tees with them.
36. Players must rake over all footprints and other marks made in bunkers.
37. Players should be ready to play when it is their turn to play. However, they must not play
until other golfers or greens staff are out of range.
38. Players must ensure that practice swings do not endanger their partner(s).
39. Players must shout ‘Fore’ if they think a stray shot might hit someone.
40. It is the responsibility of every player to play the game at a good pace.
41. Players looking for lost balls must allow other matches coming behind to pass. They should
not wait for 5 minutes before doing so.
42. If a match fails to keep its place on the course and lose more than 1 clear hole from the
match in front of them and is holding up the match behind to come through, then the match
being held up may also request to play through.
43. If a player plays a bad shot and suspects it might be lost, they should play a provisional just
in case.
44. Players, who have holed out on the green, should not try their putts again when players are
waiting to play.
45. Before putting, players should leave their bag, trolley or mobility buggy alongside the green
nearest the tee.
46. When a player has completed a hole, they should clear the green quickly and mark their
scorecard as they walk to the next tee.
47. These Terms and Conditions shall be governed by the Laws of England and Wales. The
parties agree to be subject only to the Jurisdiction of the English Court in relation to these
Terms and Conditions.
